GP Chapter PIT CREW Activity

Introduction: The GP Chapter Pit Crew was officially formed at the Chapter’s 2010 annual meeting held in Charlestown, WV for the purpose of providing control and approval of the use of Chapter resources such as members for staffing at Chapter events, and expenditures greater than $250. The Crew, comprised of the 4 Officers and Crew members, meets by email conferencing on as-needed basis whenever any Chapter member determines that there is a need for the above resources, or whenever a decision is needed requiring Crew action. “Pit Crew” is our Chapter’s name for the more familiar term “Board of Directors”, and performs the same functions.

Crew process: When a need arises, as described above, the Crew Chief is notified and then determines if a Crew meeting is necessary after consulting our Chapter By-Laws. If a Crew meeting is required, the Chief announces the topic in a group email and officially opens the discussion for 3-4 days in order to allow sufficient time for Crew members in all time zones to weigh in with their comments. The discussion is then closed, followed by opening the roll for voting for 24hrs, or more, at which time the voting closes, the votes are tallied, and the Crew’s decision is published on our website and in the next newsletter. This process is designed to provide complete fiscal and financial transparency for all Chapter members, and to render timely responses for some times critical time frames and needs.

Pit Crew voted to make the dues for 2013-2014 fiscal year $15, that includes an emailed color copy of the newsletter Prix Views. It will be an additional $13 for a mailed black/white copy to cover the printing and mailing cost.
A motion to remove any mention of an official chapter logo from the By-Laws failed.
A motion to remove the words at the annual meeting during the POCI convention  from Section 2. Dues, so that the Pit Crew can set the dues before the end of the fiscal year, was approved.

Section 2. Dues: Each Family Membership dues shall be determined by the Officers and Pit Crew at the annual meeting during the POCI convention and are payable in July. There are two (2) tiers of dues amount available, determined by the receipt of the Chapter’s newsletter, one being a hard copy that is mailed bi-monthly or two being receipt of the newsletter via email, also issued bi-monthly. The difference between the two types of membership is determined by the cost to print and mail a hard copy of the newsletter vs. an emailed version. Membership dues are due on July 1 of each year and are for one year. New members that join during the fiscal year shall have their dues pro-rated for the balance of the year.

The pit crew approved printing the July-Aug issue of Prix Views in color. Mark wants to get feedback to see how many would pay for color and we will have photos of cars from the convention.

The Pit Crew approved following bills to pay.
1. $102.71 to Mary Kollross   The $102.71 was to update/replace the steering wheel plaque metal plates. (Looks Good, larger letters in black, more readable) She made a big banner for Chapter display at Convention. 2- 24×36 posters advertising the fall cruise. The business cards for members to pass out. This was all complimentary.
The Chapter display got the award for the best Chapter display at the convention this year. Congrats to Mary.

Ray Stoeck Our V/P is developing a tour of the Bridges of Madison County. It will be head quartered in Winterset, IA which is near Des Moines. This will be on the Sunday & Monday before the POCI convention at Bettendorf, IA next year. These bridges are all on gravel roads so he is arranging a bus to transport registrants to the bridges. He plans on the registration fees to cover expenses so is not asking for any money from the Chapter. This will be open to all Pontiacs and will be advertised in Smoke Signals and Prix Views. He wants the Chapter to sponsor the tour for POCI insurance so he needs approval of the Pit Crew. It was approved

   I had passed out all the brochures I had at the last convention and I received a lot of brochures from Mark at the convention last year and needed to update them.  I purchased Avery labels for $11.86 and printed the updated address on them to go on the Grand Prix Chapter  brochures to update address.

    We discussed putting some of the savings in a CD as the savings account pays so little interest. The  treasurer has done  that. It just wasn’t on the treasurer report for this year as it hasn’t paid interest yet.

    We discussed donating to the Pontiac, MI Transportation Museum. We have questions for Tim but have unable to get answers, so that’s on hold.

    In March the Pit Crew has voted to sponsor the “Grand Prix Class” at the Pontiac Museum Regional September 21 – 22, 2019 for a $100.
